The full Terms and Conditions for The Sophia Codes Retreat, including the cancellation and transfer policy above, booking and payment, health and wellbeing, privacy and your rights under New Zealand law.

Retreat Details

THE SOPHIA CODES RETREAT will be held from 22 to 24 January 2027 at Kula Muriwai, Auckland, New Zealand. Retreat inclusions are those described on the website at the time of booking.

Booking and Payment

A booking is not confirmed until the required deposit or full payment has been successfully received and a booking confirmation has been issued.

Any remaining balance must be paid by the due date stated during booking or in the booking confirmation. If payment is not received by that date, we may contact the guest and, after providing reasonable notice, release the booking.

Room Selection and Availability

Accommodation is allocated according to the room and occupancy option selected during booking. Room availability is subject to successful payment and confirmation.

Selecting a room does not permanently reserve it until payment has been successfully completed. The booking system prevents the same room or bed from being sold to more than one guest.

Cancellation and Transfer Policy

Places at THE SOPHIA CODES RETREAT are limited, and your booking reserves accommodation and a place that may not be able to be filled at short notice.

If you are unable to attend, you may transfer your booking to another person, subject to notifying us in writing and providing the replacement guest's full name, email address, phone number, dietary requirements and relevant health or accessibility information. The replacement guest must agree to these Terms and Conditions before attending.

If you choose to cancel rather than transfer your booking, the following refund policy applies:

  • Cancellations received on or before 31 August 2026 will receive a refund of 50% of the retreat fees paid.
  • Cancellations received between 1 September and 31 October 2026 will receive a refund of 25% of the retreat fees paid.
  • Cancellations received on or after 1 November 2026 are non-refundable.

Refund percentages apply to the retreat fees actually paid at the date of cancellation. Any non-refundable payment-processing fees that are not returned to us by the payment provider may be deducted from the refund where legally permitted.

Cancellation and transfer requests must be submitted in writing to the retreat organiser. A request is effective from the date it is received.

We strongly recommend that guests obtain appropriate travel insurance covering illness, injury, travel disruption and other circumstances that may prevent attendance.

Cancellation or Changes by the Organiser

If we cancel the retreat and do not offer a suitable replacement date, guests will receive a full refund of the retreat fees paid.

If the retreat is rescheduled or materially changed, affected guests will be given the option to transfer their booking to the replacement retreat or receive a refund of the retreat fees paid.

We are not responsible for additional costs such as flights, transport, travel insurance, lost income or independently booked accommodation, except where liability cannot legally be excluded.

Nothing in this policy excludes, restricts or modifies any rights or remedies available under the Consumer Guarantees Act 1993, the Fair Trading Act 1986 or any other applicable New Zealand law.

Guest Responsibilities

Guests are expected to behave respectfully towards the facilitators, venue, staff and other guests. We may require a guest to leave if their conduct creates a serious safety risk or materially disrupts the retreat.

Any decision of this nature must be reasonable and must not affect rights that cannot be excluded under New Zealand law.

Health and Wellbeing

The retreat includes wellbeing, spiritual, embodiment and personal-development practices. These activities are not a substitute for medical, psychological or other professional healthcare.

Guests are responsible for determining whether the retreat and its activities are suitable for them. Guests should seek appropriate professional advice where required and notify the organisers before the retreat of any relevant health condition, pregnancy, injury, allergy, medication, accessibility requirement or other circumstance that may affect safe participation.

In an emergency, guests authorise the organisers to contact emergency services or their nominated emergency contact where reasonably necessary.

Dietary and Accessibility Information

Guests must provide accurate dietary, allergy and accessibility information during booking. We will make reasonable efforts to accommodate notified requirements but cannot guarantee an environment completely free from allergens.

Personal Belongings

Guests remain responsible for their personal belongings, except where loss or damage results from something for which liability cannot legally be excluded.

Privacy

Personal information collected during booking will be used to administer the retreat, process payments, manage accommodation, address dietary or accessibility requirements, communicate with guests and support guest safety.

Personal information is stored securely and handled in accordance with applicable New Zealand privacy law. Health, dietary and emergency information is only accessible to people who reasonably need it for retreat administration or guest safety, and is never sent to our payment provider.
